Hi All,

Please read the email below regarding some policy changes on shared instruments between Hupp and Farha labs. The link below is for the list of shared instruments and their managers.

Each instrument has two managers (one from each group) with equal responsibilities. Managers are responsible for training the members of their respective groups, and they will take turns on the instrument maintenance.

The document also has separate tabs for each instrument. Managers will log important events such as maintenance done, shutdown, part change etc in addition to the inputs from users, if any, about errors or malfunction reports. Everyone will have access to this document however, only managers are allowed to enter information. They will enter the information received from users and what has been done to address it so next generations can use that for future troubleshooting.

Any shared instrument that does not have a calendar for booking will have a logbook next to it and users must sign their names before they use it.

@Instrument managers: please do the following;

-Post your contact information on or near the instrument, wherever is appropriate.

This should include, instrument name, your full name-lab PI, email address, phone number, and office number.

-Post “Farha-Hupp shared instrument” on the instrument that you will manage

-Enter your contact information on the spreadsheet and use the same style to be consistent

-Add a new page to the document below for your instrument and report recent events, if any. Use Tristar 1 page as a template

-Place a notebook near the instrument you will manage if that instrument does not use a shared calendar for booking

-Check the logbook regularly to make sure it is actually being used

Please note that only shared instruments are listed in this document and whatever is not listed here belongs to the PI of the respective lab, so it will be maintained and managed by the respective lab.

The only exception to this (temporarily) is the actinide glove box in KG 30 since it needs to decertified by ORS that it is fully decontaminated. Farha lab is in the process of certifying the new glove box in Ryan 1018A for actinide work. As soon as it is certified, the chemicals will be transferred. Following decertification from ORS, the glove box in Tech KG30 will be for Hupp group only.

No one is allowed to make changes to the managers’ list. Timur/Subhadip will manage the manager lists for their respective groups. If you have any questions regarding the job assignments contact us or Omar/Joe.

All of these changes are to make sure that the instruments are managed and maintained better so they last longer. Please be in full compliance with the new rules.
