In order to preserve user records, ensure maximum continuity, and avoid issues with Research Safety Certificates, the NUcore Team would like to recommend the following process when handling users (both internal and external) that may have previously possessed a Net ID at Northwestern:

1. If the new user was previously associated with Northwestern or possessed an affiliate Net ID, please check the following:
   1. Perform a “Name Search” in NUcore (using their last name only) to see if an existing Net ID-based record exists in the system
   2. AND, Inquire with Northwestern IT to see if a Net ID had been previously registered with the user’s email address that is associated to their NUcore account (contact your local school/department Net ID Administrator or email consultant@northwestern.edu with as many details as possible to aid their search)
2. If an old Net ID for the user exists, we recommend the following:
   1. Assuming the Net ID has not been repurposed and reused by a new person or group, contact your local school/department Net ID Administrator or send an email to consultant@northwestern.edu to request that the Net ID be reactivated under the original user’s name
   2. If the same, now reactivated Net ID already exists in NUcore, send an email to nucore@northwestern.edu to request that it also be reactivated in NUcore
   3. Once reactivated in both systems (NU Directory and NUcore), the user can log in to NUcore with their reestablished Net ID credentials

Reactivating a user’s old Net ID rather than creating a new one has the following advantages:

1. Research Safety Certificates obtained under the old Net ID will remain available as appropriate (there are serious continuity errors if Certificates are registered to multiple Net ID’s for one person)
2. Continuous NUcore Order History under a single Net ID will be available to users, core managers, and administrators
3. The user maintains a single login record, reducing the number of accounts on the end user’s side, as well as when the core is searching for a given user
