Dear Colleague,
If you are receiving this email, it means that you are planning to attend the meeting INTERMEDIATE-MASS BLACK HOLES: NEW SCIENCE FROM STELLAR EVOLUTION TO COSMOLOGY, to be held in San Juan, Puerto Rico, Apr 30 – May 3. Updated information about the meeting will be available on the meeting website https://sites.northwestern.edu/imbh .

I am happy to confirm that the meeting will be entirely in person, with no hybrid, Zoom, or any kind of remote participation options. We have about 80 participants, which makes the scientific organization quite easy: everyone is invited to give a 15-min talk (12+3) and there is no need for any posters. The scientific sessions will be Saturday to Tuesday. On Monday evening, we are going to have a guided tour of old San Juan and there will be a banquet (location not defined yet). Morning sessions will be about 8:45 AM – 12:15 PM each day with a 30-min break. Evening sessions will be about 4:00 PM – 7:30 PM, also with a 30-min break.

Please, respond to this email if:

1. You need to update your name and affiliation with respect to what you submitted when you applied.
2. You need to update the title and abstract of your talk with respect to what you submitted when you applied. We will use this information to set up the scientific program, which should be available online by the beginning of March.

3. You have any special requests: shorter or longer talk, constraints on when your talk can be scheduled, etc. If you had planned to present a poster, we would prefer that you give a short talk instead (let me know how much time you’ll need—a very short talk, e.g., 4+1, to present briefly a new result, or announce a new project yet to be completed, is perfectly fine). If you still want to bring a poster, that’s fine, and you will be able to keep it on display for the whole week, but note that we will not have any designated time for poster viewing in the schedule).

Registration Fee Participants are required to pay the registration fee before 28 February 2022. The registration fee is $400 and will include breakfast, coffee breaks, and lunch for all meeting days, plus a guided tour of old San Juan and the social dinner.

Accompanying person – social dinner Participants may pay the cost of the social dinner ($75) for any accompanying person at the moment of registration. You can select the number of accompanying people at the moment of registration.

Food allergies and dietary restrictions Write about any food allergies and dietary restrictions (including information for any accompanying person) at the moment of payment.

Welcome reception – Friday 29 April evening A Welcome Reception with catering and a review talk on IMBHs will be held on Friday 29 April evening at the conference venue – Cuartel de Ballaja’. Please, check the conference website for updates.

Meeting program The sessions will be held at the Cuartel de Ballaja’ in old San Juan. The program has not been determined at this time, so please check the conference website for updates. The scientific sessions will run from Saturday 30 April through Tuesday 3 May. There will be a morning session from approximately 9:00 AM to 12:00 PM, and an afternoon session from approximately 4:00 PM to 7:30 PM.

COVID and Travel requirements We encourage everyone to stay informed about safety measures for travel and gatherings as recommended by the Centers for Disease Control and Prevention (CDC). Please, stay updated with COVID-19 testing and vaccination requirements to enter US and Puerto Rico. Remember that attendees are expected to provide proof of vaccination at the moment of registration.

From Saturday 30 April through Tuesday 3 May 2022 – San Juan, Puerto Rico

Application and Abstract Submission Due to the large number of people expressing interest in attending the conference and the limited number of people that we can safely host in our meeting space, we have opted for a two-step registration. People that plan to attend the meeting are required to fill the form for application and abstract submission before 23 January 2022. Application is mandatory. Accepted participants will be contacted in order to finalize their registration by paying the registration fee.

Registration Fee Accepted participants are required to pay the registration fee before 15 February 2022. The registration fee is $400 and will include breakfast, coffee breaks, and lunch for all meeting days, plus a guided tour of old San Juan and the social dinner. Participants, who have been offered a discounted registration fee, can pay the reduced fee of $200.

Accompanying person Participants may pay the cost of the social dinner ($75) for any accompanying person at the moment of registration.

On behalf of the local and scientific organizing committees, I cordially invite you to participate to the meeting

INTERMEDIATE-MASS BLACK HOLES: NEW SCIENCE FROM STELLAR EVOLUTION TO COSMOLOGY
From Saturday 30 April through Tuesday 2 May 2022 – San Juan, Puerto Rico

Scientific Topic In this meeting we aim to explore the various observational and theoretical aspects of intermediate-mass black holes, and their unique role in: (1) Cosmology and galaxy evolution; (2) Formation of gravitational wave sources; (3) Accretion, tidal disruption events, and high-energy phenomena. The workshop aims to serve as a focal point for researchers working on intermediate-mass black holes on all scales, to connect theorists and observers, and to link together and share knowledge and tools between groups working on similar questions.

Meeting Format The meeting will consist of contributed talks and active discussion, for about 5/6 hours per day from Saturday 30 April through Tuesday 2 May 2022. Plenty of time will be dedicated to fruitful discussions and interactions among the participants, and to enjoy the beautiful venue of Puerto Rico.

Pre-Registration If you plan to participate to the meeting, we kindly ask you to pre-register. Pre-registration is not mandatory, and it will only be used to have an estimate of the number of possible participants and of the number of people that need a reduced conference fee.

Registration and Abstract Submission We hope that you are interested in attending the meeting. If you plan to participate and/or give a talk, please register and submit your abstract at the above website before Tuesday 15 February 2022. 

Registration Fee Registration fee is due at the moment of registration (starting 1 January 2022). The registration fee will be approximately $350 and will include breakfast, coffee breaks, and lunch for all meeting days, a guided tour of old San Juan, and the social dinner. We will be able to offer discounted rates for a few participants (please, add motivation for a discounted rate at the moment of pre-registration).

Social Events We are planning to have plenty of time for social interactions among the participants. Social events will include a guided tour of old San Juan, the social dinner, a rum tasting, and much more!
